Consulate General of India, Chicago has outsourced the passport services to M/s Cox and Kings Global Services. For passport related services, all applicants must send their applications or walk-in to the new India Passport Application Centre (IPAC) in Chicago, operated by M/s Cox and Kings Global Services, at the following address:

Submission of passport applications by appointment: 0900 hrs-1530 hrs

IMPORTANT NOTE: 

[i]  The Consulate General of India, Chicago does not, directly accept passport applications, either in person or through mail for Passport related services. Applications sent to the Consulate directly will not be entertained.

[ii]  All applications along with the requisite documents and the prescribed fee should necessarily be sent to India Passport Application Centre, Cox and Kings Global Services [Passport Services], Suite 1002, 19 S, La Salle Street, Chicago, IL 60603. The applicant applying for passport services should have legal  status of his stay in USA.

[iii]  The passport applications received from M/s Cox and Kings Global Services (CKGS) are processed in the Consulate within 10 working days from the date of receipt in the Indian Consulate. This category typically includes passports issued by the Consulate General of India, Chicago and submitted for renewal  before six months  of the date of expiry.

[iv]  The passport issued from Passport issuing Authorities other than Chicago could take much longer time. The passports that are NOT issued by the Consulate General of India, Chicago falls under the ‘Referral Category’. Such passport applications are processed for renewal within 30 days, if clearances from respective Passport Issuing Authorities (PIAs) are  received. In the eventuality of non-receipt of clearance from the PIA concerned, a Short Validity Passport (1 or 2 years) could be issued. Full validity passports are, however, issued only upon receipt of clearances from the respective PIAs.

[v]  The processing time for passport applications submitted for reissue of passports, which had expired 3 years ago & beyond, is longer. In such cases, passports are issued only upon receipt of confirmation of clearance either from the original PIA or the Police Department of the state concerned in India. The passport applications in such cases should be presented in person to the Consulate on any working day between 09:00hrs -12:00hrs for scrutiny of documents, which should include references of two responsible persons in USA who can vouch for the Indian nationality and antecedents of the applicant, a Sworn Affidavit by the applicant duly notarized clearly stating that the applicant has not applied for any other nationality or sought asylum in the host country and that he/she was not involved in any activities prejudicial to the interests of India, apostille copy of the current Lease Agreement from the Illinois office of Secretary of State and copies of recent utility bills to established the proof of current residence. After the completion of the scrutiny of documents, the applicant would be directed to submit their applications to M/s CKGS for further processing. Applicant can be requested for an interview with the original documents in the Consulate.

[vi]  Passports can also be obtained under 'Tatkal' or 'Expedited' service by submitting the applications  in person to M/s CKGS directly.  For Tatkal or Expedited Services, the application must be submitted in walk-in, not through postal, to the outsourcing agency. However, the Consulate will not be responsible for any delay caused due to procedural/technical reasons & the fee would not be refunded under these circumstances. Expired or Lost/Damaged passports would not be accepted for Tatkal service.  However, Hand-written Passports issued from India and Chicago would be accepted for Tatkal service.  The passport applications received through postal will not be entertained for Tatkal or Expedited Services. Fee paid for Tatkal/ Expedited services would not be refunded.  All applications that are submitted under “Tatkal” or “Expedited Services”, the passports would be issued within 2-3 working days.  Passport services will be rendered under Tatkal service after verifying the passport details of those passports issued other than Chicago.

[vii]  For any change in the passport particulars, the applicant is required to bring all the requisite documents in original to the Consulate for verification.

[viii]  The Passports are always issued in good condition with due checks by the Consulate and by the outsourcing agency. However, the applicant is also advised to check his new passport and bring into the notice of the Consulate or the outsourcing agency immediately in writing on finding any discrepancy and deficiency in his/her new passport. The Consulate or the outsourcing agency will not be responsible for any deficiency / discrepancy reported after one month of date of issue of his/her passport. In such cases, the applicant will have to re-apply for correction in his /her passport & fee will be charged.  

[IX]  No passport services will be rendered to those who are on visitor visa i.e. B1 & B2.  To travel back to India only Emergency Certificate will be issued by the Consulate.

[x]  Escalation in case of delays: Any query regarding delays beyond 4 weeks (non-referral cases) and 8 weeks in referral cases, please write to the Consulate at :  passport @indianconsulate.com

 

CORRECTION OF DATE/PLACE OF BIRTH IN THE PASSPORT:

As per existing instructions, date and place of birth once recorded in the Passport cannot be corrected unless the prescribed procedure is followed. Applicant should submit duly corrected/amended birth certificate/school certificate on the basis of which the date/place of birth was first recorded in the first passport by the issuing authority. Birth/School Certificate issued by the concerned authority in India must be attested by Attestation Section of Consular Division, Ministry of External Affairs, Jawaharlal Nehru Bhavan, (JNB), New Delhi.

 

PUBLIC ADVISORY 

1. Indian citizens living in the States of Illinois, Indiana, Iowa,Michigan, Minnestoa, Missouri, North Dakota, South Dakota and Wisconsin comes under the jurisdiction of CGI,Chicago  are advised to apply for urgent re-issuance of their passports in the following cases:

(i). HANDWRITTEN PASSPORTS

The International Civil Aviation Organization (ICAO) has set a deadline of the 24th November, 2015 for globally phasing out of all non-Machine Readable Passports (MRPs). From the 25th November, 2015 onwards, foreign Governments may deny Visa or entry to any person travelling on a non-Machine Readable Passport.

Indian citizens residing in the states comes under the jurisdiction of CGI,Chicago holding such passports with validity beyond the 24th November, 2015 are advised to apply for re-issue of their passports well before the deadline in order to avoid any inconvenience in obtaining valid visa or international travel.


(ii) PASSPORTS VALID FOR LESS THAN SIX MONTHS

Many international travelers may not realize that having an unexpired passport is sometimes not enough to obtain Visas or to enter certain foreign countries. Indian citizens travelling on Passports which may expire in less than six months should renew their passports before any upcoming international travel. It is especially important to check the passports needs of any minor who may be accompanying their parents as passports for minors have a shorter validity period (5 years) than passports for adults (10 years). The universal practice in vogue now is; "Once your passport crosses the nine-year mark, it is time to get new passport".


(iii) EXHAUSTION OF VISA PAGES
1.Some countries do not accept passports which may have fewer than two pages remaining. Please check your passport to ensure that you have enough visa pages. There is no provision of additional booklets/pages and you will be required to apply reissuance of passport following standard procedures. Frequent travelers may opt for Jumbo Passport containing 64 pages.
